Repository Policies


The aim of the Universiti Teknologi PETRONAS Research University Repository is to provide a permanent record of the research output of the University and maximize the visibility, usage and impact of this research through global access.

Where possible the repository will include an author deposited copy of the research paper/work or a deposit made by an authorized second party.

Deposit of full items is encouraged at the earliest possible opportunity with the option of an embargo facility to delay public visibility to meet funders’ and publishers’ requirements.

All deposits will be assessed to ensure that they are within the scope of the repository by the e-Prints editorial team and every effort will be made to validate published works although responsibility for the authenticity of deposits lies with the author.

Staff and students depositing their work in the repository are reminded that this policy document has been written in addition to the existing Universiti Teknologi PETRONAS (UTP), Intellectual Property Policy and covers the use and management of the Institutional Repository.

Copyright and Use Notice

The Universiti Teknologi PETRONAS Research University Repository provides immediate and free worldwide access to the University's research and teaching and learning output.  The repository is not a publisher but merely an online archive for deposited items.  Depositing an item in the repository does not change or affect the original Intellectual Property Rights or Copyright of the work.

Deposit in the repository is by non-exclusive agreement and the author is free to publish any version of the work elsewhere.  Deposit in the repository makes the work available to a wide variety of individuals and institutions, including automated online search engines.

Therefore a citation of the work will always remain visible.

Policy Notice

Metadata Policy for information describing items in the repository

Anyone may access the metadata free of charge. The metadata may be re-used in any medium without prior permission for not-for-profit purposes and re-sold commercially provided the OAI Identifier or a link to the original metadata record are given.

Data Policy for full-text and other full data items

Anyone may access full items free of charge. Copies of full items generally can be: reproduced, displayed or performed, and given to third parties in any format or medium for personal research or study, educational, or not-for-profit purposes without prior permission or charge. Provided the authors, title and full bibliographic details are given a hyperlink and/or URL are given for the original metadata page the content is not changed in any way.

Full items must not be sold commercially in any format or medium without formal permission of the copyright holders. Some full items are individually tagged with different rights permissions and conditions.

Mention of the repository is appreciated but not mandatory.

Content Policy for types of document and data set held

This is an institutional repository. The repository holds all types of materials. Papers are individually tagged with their peer-review and publication status.

Submission Policy concerning depositors, quality and copyright

Items may only be deposited by members of the organization. Authors may only submit approved academic work for archiving. The administrator only vets items for the eligibility of authors/depositors, relevance to the scope of the repository, valid layout and format, and the exclusion of spam

The validity and authenticity of the content of submissions is the sole responsibility of the depositor. Items can be deposited at any time, but will not be made publicly visible until any publishers' or funders' embargo period has expired. Any copyright violations are entirely the responsibility of the authors/depositors. If the repository receives proof of copyright violation, the relevant item will be removed immediately.

Preservation Policy

Items will be retained indefinitely. The repository will try to ensure continued readability and accessibility. Items will be migrated to new file formats where necessary. Where possible, software emulations will be provided to access un-migrated formats. It may not be possible to guarantee the readability of some unusual file formats.

The repository regularly backs up its files according to current best practice. The original bit stream is retained for all items, in addition to any upgraded formats. Items may not normally be removed from the repository.

Acceptable reasons for withdrawal include:

Proven copyright violation or plagiarism

Legal requirements and proven violations

National Security

Falsified research

Withdrawn items' identifiers/URLs are retained indefinitely.

URLs will continue to point to 'old' citations, to avoid broken links and to retain item histories. Changes to deposited items are not permitted. Errata and corrigenda lists may be included with the original record if required.

If necessary, an updated version may be deposit. In the event of the repository being closed down, the University will endeavor to transfer the database to another appropriate archive.
